Reservations for the trailer are
on a first come, first serve basis by Sandhills Baptist Association churches. It
must be used within the associational region and is not available for individual
use nor may individual items be removed for other uses. |

Reservations can be made by
calling the Associational Resource Center and submitting the proper forms. All
appropriate forms must be completed and submitted along with necessary fees at
least two weeks before transporting the trailer. |
 |
The person transporting the
trailer must show proof of a valid driver’s license and vehicle insurance.

The signature of a person who will
be with the trailer serving as a supervisor during its use must be on the
reservation form. |
 |
A non-refundable charge of $25
will be made for a single day’s use. A non-refundable charge of $50 will be made
for two or more consecutive days. The fee must be paid at least two weeks before
the trailer is picked up, or the reservation dates will be reopened to others
who may have requested them. |
 |
The trailer can be reserved for up
to three days at a time. Longer periods will be considered on a case-by-case
basis during lower demand times of the year. Each church is limited to one major
holiday per year unless no other church has reserved the trailer at least two
weeks before the holiday. |

Reservations cannot be made more
than six months in advance. |
 |
The trailer may not be used as a
concession stand. This is not a fundraiser tool. No food or printed materials
may be sold through the use of this trailer. It is only for storing and hauling
the equipment to be used in your “party”. |

The trailer is to remain locked
and in a secure place when not in use. |
 |
Churches or groups reserving the
trailer are responsible for picking up the trailer no earlier than the day
before its use and bringing it back to the Associational Resource Center no
later than the day after completion of the ministry event. |

Because the hitch is lock
protected, a church may need to obtain a key in advance of the day the trailer
is to be used. |
 |
At the time of pick up, the church
representative will need to make an initial examination of the trailer and
equipment. Any damages discovered at this time should be noted on the
appropriate form. Other damages discovered during set up should also be noted
immediately on the damage report. Any damages not reported may be assigned to
the current church and that church will be asked to make repairs or provide for
replacement. |

The association may retrieve the
trailer if it is not returned on the agreed date and appropriate notification
given to the association. Such action may cause the borrowing church to lose
rights for future use. |

The church or group reserving the
trailer is responsible for cleaning it after its use and replacing/fixing any
missing or broken materials or equipment designed to stay with the trailer.

A notebook of guidelines and
instructions will be kept on the trailer. This notebook should be viewed as a
piece of the trailer equipment and appropriately maintained. Instructions for
use and clean up of the popcorn and snow cane machines are kept in the notebook.

NOTE: The Sandhills Baptist
Association shall not be held liable for any actions or consequences of those
actions by the borrowing church, its representatives, volunteers, or any
individual attending or participating in the church sponsored event. Please make
sure that proper supervision is given at all times for all equipment and all
activities by individuals approved by the borrowing church. |

The CMT Evaluation Form MUST be
returned with the trailer and keys on the agreed upon date. |
Please take all
necessary steps for safety and maintenance!
1.
Check with your church’s insurance carrier to determine coverage. You are
using this ministry trailer and its contents at “your own risk.” The Sandhills
Baptist Association and its employees are not responsible for any accidents,
injuries, or complaints while the trailer is held under reservation by a church.
2.
For safety and liability issues, make sure that all adults working with
the equipment and with children in attendance have been appropriately trained
and screened.
3.
Adults only should use any electrical equipment.
4.
Make sure all game equipment is in good condition before allowing
children to play with them.
5.
Use extra caution around all food equipment and materials.
6.
Make sure all play areas are safe from hazardous traffic.
7.
Cleanliness is next to godliness in dealing with the trailer and its
contents.
8.
Two adults operating each of the refreshment machines provides both
safety and efficiency.

restriction. I will treat it as the property of God and I will serve as his
steward.
